1. Introduction
Malan Family Ministries Inc ("the Ministry," "we," "us," or "our") is a Florida not-for-profit corporation and a tax-exempt organization under Section 501(c)(3) of the U.S. Internal Revenue Code. We operate the website waldomalan.com (the "Website"), which shares the teaching, books, podcast, newsletter, coaching and speaking ministry of Waldo Malan.
We respect your privacy and are committed to handling your personal information with care, honesty and integrity. This Privacy Policy explains what information we collect when you visit the Website or engage with our ministry, how we use and protect that information, and the choices and rights available to you.
By using the Website, you acknowledge that you have read and understood this Privacy Policy. If you do not agree with it, please do not use the Website or submit personal information to us.
2. Information We Collect
2.1 Information You Provide to Us
We collect personal information only when you choose to give it to us, for example when you:
- Submit a booking or enquiry request (coaching, team intensives, speaking engagements, workshops, retreats, podcast interviews or other requests). This form may ask for your first and last name, email address, phone number, church or organization, city and country, enquiry type, preferred date, preferred format, and the details of your request.
- Subscribe to our newsletter ("The Worship Letter"), which requires your email address.
- Make a donation or become a monthly partner. Donations are processed by our third-party giving platform (see Section 2.3). We may receive your name, email address, mailing address, donation amount, date and any note you choose to include. We do not receive or store your full credit card or bank account details.
- Contact us directly by email, text message, phone, or through our social media pages, in which case we receive whatever information you choose to share.
Please do not send us sensitive personal information (for example, health, financial account or government identification details) through the Website forms or email.
2.2 Information Collected Automatically
When you visit the Website, some information is collected automatically by our web hosting provider and the services that deliver the Website to your browser. This can include your IP address, browser type and version, device and operating system, referring web page, pages requested, and the date and time of your visit. This information normally appears in standard server logs and is used for security, troubleshooting and keeping the Website running properly.
At present, we do not use analytics, advertising or tracking cookies on the Website, and we do not use third-party advertising networks. If this changes, we will update this Privacy Policy.
2.3 Information from Third-Party Services
Parts of our ministry rely on trusted third-party services, each of which has its own privacy policy:
- Formspree — processes and delivers submissions from our booking/enquiry and newsletter forms to us.
- Givebutter — securely processes online donations and recurring partnerships, and provides us with donor records and receipts.
- Google Fonts — delivers the typefaces used on the Website. When your browser loads these fonts, Google may receive your IP address and basic browser information.
- Hosting and email providers — store and deliver the Website and our email correspondence.
We encourage you to review the privacy policies of these providers.
3. Cookies and Similar Technologies
The Website uses your browser's local storage to remember one preference only: whether you have chosen the light or dark display theme. This setting stays on your device, is not sent to us, and does not identify you. You can clear it at any time through your browser settings.
Third-party services you interact with (such as Givebutter when you donate, or YouTube, Spotify and Apple Podcasts when you follow a link to listen to the podcast) may set their own cookies under their own policies. Most browsers let you block or delete cookies; doing so may affect how some third-party services work.
Do Not Track: Because we do not track visitors across websites, we do not change our practices in response to "Do Not Track" browser signals.
4. How We Use Your Information
We use the information we collect in order to:
- respond to your enquiries and booking requests, arrange discovery calls, and prepare proposals;
- deliver coaching, speaking, workshop and related ministry services you have requested;
- send you our monthly newsletter and occasional ministry updates when you have subscribed or asked to be added;
- process donations, issue receipts and tax acknowledgments, and thank our partners;
- keep accurate records as required for a 501(c)(3) organization, and meet our legal, accounting and reporting obligations;
- keep the Website secure, prevent fraud, spam and abuse, and fix technical problems; and
- improve the Website and our ministry resources.
We will not use your personal information for purposes unrelated to our ministry without your consent.
5. Email Newsletter and Communications
If you subscribe to The Worship Letter, or tick the newsletter box on our booking form, we will send you our monthly newsletter and, from time to time, other ministry messages. Every email includes a way to unsubscribe, and you can also unsubscribe at any time by contacting us at the address below. We will honor your request promptly. Even after you unsubscribe, we may still send you messages directly related to a booking, donation receipt or other transaction you have with us.
If you give us your phone number, we will use it only to respond to your enquiry or to coordinate services you have requested. We will not add you to any marketing text messaging list without your express consent, and you may reply STOP to opt out of any text messages we send.
7. Donor Privacy
We are grateful for every partner who supports this ministry. Donor information is kept confidential and used only to process gifts, provide receipts, maintain required records, and communicate with you about the ministry. We will not publish the names of donors or the amounts of their gifts without their permission. Online payments are handled entirely by Givebutter using industry-standard security; we never see or store your full payment card details.
8. Data Retention
We keep personal information only as long as needed for the purposes described in this Privacy Policy. In general:
- enquiry and booking information is kept while we are in contact with you and for a reasonable period afterward for record-keeping;
- newsletter subscription information is kept until you unsubscribe; and
- donation records are kept for as long as required by U.S. federal and Florida tax, accounting and charitable-reporting requirements (usually at least seven years).
When information is no longer needed, we delete it or make it anonymous in a secure way.
9. How We Protect Your Information
We use reasonable administrative, technical and physical safeguards to protect personal information from loss, misuse and unauthorized access, disclosure, alteration or destruction. These include encrypted (HTTPS) connections to the Website, reliance on reputable service providers, and limiting access to people who need it for ministry purposes. However, no method of transmission over the Internet or electronic storage is completely secure, and we cannot guarantee absolute security. In the event of a data breach affecting your personal information, we will notify you and the appropriate authorities as required by applicable law, including Florida law.
10. Your Choices and Rights
No matter where you live, you may contact us to:
- access the personal information we hold about you;
- correct information that is inaccurate or incomplete;
- delete your personal information, subject to any records we are legally required to keep (such as donation records);
- unsubscribe from our newsletter or other communications; and
- withdraw consent where we rely on your consent.
To make a request, email us at the address in Section 15. We may need to verify your identity before acting on your request. We will respond within a reasonable time, and within any time limit set by applicable law.
11. International Visitors
The Ministry is based in the United States, and the Website is hosted and managed from the United States. If you visit from outside the United States — including the European Union, United Kingdom, South Africa or elsewhere — your information will be transferred to, stored and processed in the United States, where data protection laws may differ from those in your country.
Where laws such as the EU/UK General Data Protection Regulation (GDPR) or South Africa's Protection of Personal Information Act (POPIA) apply, we process your personal information on the basis of your consent (for example, newsletter subscriptions), to take steps at your request before entering into, or to perform, an agreement (for example, coaching or speaking bookings), to meet legal obligations (for example, donation records), and for our legitimate interests in running and protecting our ministry. You may have additional rights under those laws, including the right to object to or restrict processing, the right to data portability, and the right to complain to your local data protection authority. We will honor these rights as required by law.
12. Children's Privacy
The Website is intended for a general adult audience and is not directed to children under the age of 13. We do not knowingly collect personal information from children under 13, in line with the U.S. Children's Online Privacy Protection Act (COPPA). If you believe a child under 13 has given us personal information, please contact us and we will promptly delete it. Visitors under 18 should use the Website's forms only with the involvement of a parent or guardian.
13. Third-Party Links
The Website contains links to third-party websites and platforms, including Amazon (for book purchases), YouTube, Spotify, Apple Podcasts, RSS.com, Facebook, Instagram, LinkedIn and Givebutter. We are not responsible for the privacy practices or content of those sites. When you leave our Website, we encourage you to read the privacy policy of each site you visit. Purchases made on Amazon are governed entirely by Amazon's terms and privacy policy.
14. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, services or legal requirements. When we do, we will post the revised policy on this page and update the "Last Updated" date above. If the changes are significant, we may give additional notice, such as a message on the Website or in our newsletter. Continuing to use the Website after changes are posted means you accept the updated policy.
